What should a professional quote include?

A professional quote is more than just a price. It is a document that tells the customer exactly what they will get, how much it will cost, how long the price is valid for, and what the terms are. A well-structured quote wins business; a poorly structured one loses it to a competitor who looks more professional.

Many small businesses are unsure what to include. They forget the quote number, leave off the expiry date, do not specify the scope of work, or do not make the terms clear. The result is customer confusion, scope creep and disputes over what was agreed.

A good quote template solves this. It gives you a consistent structure that includes everything needed, so you never miss a field and your customers always know what they are agreeing to.

The structure of a professional quote

A professional quote should include: your business name and contact details, the customer name and address, a unique quote number, the quote date and expiry date, a clear description of the work, a list of line items with descriptions and quantities, the unit price and amount for each line, the subtotal, any VAT or discounts, the total amount, and the terms and conditions.

MileageCalendar includes a professional quote template that covers all of these fields. As you fill them in, you see a live preview of the finished document. When you are done, you can download a polished PDF or send it directly to your customer.

You can also add fields that most templates do not support — like business mileage valued at the HMRC rate — so the quote reflects the true cost of the job including travel.
