What should a professional invoice include?

A professional invoice is more than just a list of charges. It is a legal document that must include certain information to be valid in the UK — and it is a reflection of your business. A well-structured invoice gets paid faster; a poorly structured one gets questioned, delayed or ignored.

Many sole traders and small businesses are unsure what to include. They forget the invoice number, leave off their address, do not specify payment terms, or do not make it clear how the customer should pay. The result is delayed payment and awkward follow-up conversations.

The structure of a professional invoice

A professional invoice should include the following sections: your business name and contact details, the customer name and address, a unique invoice number, the issue date and due date, a clear list of line items with descriptions and quantities, the unit price and amount for each line, the subtotal, any VAT, discounts or adjustments, the total amount due, your payment details (bank account, sort code), and any notes or terms.
