Distance is estimated using geocoded postcodes and a standard UK road multiplier. For exact route distances, track journeys with MileageCalendar.

Calculating business mileage is harder than it looks

To calculate your business mileage claim, you need to know the exact distance of every business journey, the date it was made, the business purpose, and the correct HMRC rate. Then you need to multiply, add up, and track the 10,000-mile threshold.

If you drive to multiple client sites in a day, the calculations multiply. Most sole traders end up estimating — and estimates mean missed claims or HMRC questions.

How business mileage is calculated

Business mileage is calculated by multiplying the number of business miles driven by the HMRC approved rate. For the 2026/27 tax year, the rate is 55p per mile for the first 10,000 miles and 25p per mile above.

For example, 5,000 business miles at 55p per mile = £2,750. If you drive 12,000 miles, the first 10,000 are at 55p (£5,500) and the remaining 2,000 are at 25p (£500), giving a total claim of £6,000.

The calculator above does this for you instantly. When you track all your journeys with MileageCalendar, the app does this calculation for every journey automatically — including tracking the 10,000-mile threshold across the tax year.

What counts as business mileage?

Business mileage includes travel between different work locations, client visits, supplier visits, site visits and business errands. Your regular commute to a fixed workplace is personal, not business.

If you are a sole trader who works at multiple client sites, the journeys between those sites (and from home to your first client) are business mileage. If you are an employee who travels to temporary work locations, those journeys may also be claimable.

Multi-stop and return journeys

If your working day involves multiple stops — client A, then supplier B, then site C — the calculator sums the distance between each consecutive point to give you the total journey mileage.

For round trips, toggle the return journey option to double the mileage. This is useful for journeys where you drive to a client and back to your starting point.
