Why manual HMRC mileage calculations cost you money
HMRC requires accurate records of every business journey you claim for — the date, the start and end points, the total miles, and the business purpose. If you are still using a spreadsheet or a notebook, you are almost certainly losing money.
For the 2026/27 tax year, the HMRC approved mileage payment rate is 55p per mile for the first 10,000 miles and 25p per mile thereafter — the first increase in 15 years. Calculating this manually for every journey is tedious and error-prone.

How the HMRC mileage rate works
For the 2026/27 tax year, the HMRC approved mileage payment rate for cars and vans is 55p per mile for the first 10,000 business miles, and 25p per mile for each mile above 10,000. This is the first increase in 15 years, up from 45p.
The rate covers all vehicle costs — fuel, insurance, maintenance, depreciation and road tax. If you use the approved mileage rate, you cannot separately claim these costs.
For motorcycles, the rate is 24p per mile. For bicycles, it is 20p per mile. These rates apply from 6 April 2026 to 5 April 2027.
How to calculate your HMRC mileage claim
To calculate your claim, multiply your total business miles by the approved rate. For example, 5,000 business miles at 55p per mile = £2,750. If you drive more than 10,000 miles, the first 10,000 are at 55p and the rest are at 25p.
The calculator above does this for you instantly. Enter your start and end postcodes, add any intermediate stops, and the calculator works out the driving distance and estimated claim value.
When you track all your journeys with MileageCalendar, the app does this calculation for every journey automatically — including tracking the 10,000-mile threshold across the tax year.
What records do I need for HMRC?
HMRC requires the following for every business journey:
- The date of the journey
- The start point (full address or postcode)
- The destination (full address or postcode)
- The total miles driven
- The business purpose of the journey
Self Assessment and mileage claims
If you are a sole trader or self-employed worker, your total mileage allowance is deducted from your taxable profit on your Self Assessment. This reduces the profit you pay tax on, lowering your tax bill.
MileageCalendar produces a report with all the details HMRC needs — the date, route, miles, purpose and claim value for every journey — formatted for your Self Assessment or your accountant.
You can also sync mileage directly to Xero, QuickBooks, FreeAgent or Sage, so your mileage appears in your accounting software ready for your tax return.
