FOR THE SELF-EMPLOYED

Mileage Tracker for Self-Employed & Sole Traders

If you are self-employed or a sole trader, mileage is one of your biggest tax reliefs. MileageCalendar helps you claim it — by turning your work appointments into mileage records automatically.

Self-employed workers lose thousands in unclaimed mileage

As a self-employed worker or sole trader, you manage everything — your work, your admin, your taxes. Mileage tracking often falls to the bottom of the list, and journeys are forgotten or estimated.

But mileage is one of the most valuable tax reliefs available to self-employed workers. At 55p per mile for 2026/27, 8,000 business miles a year is worth £4,400 — deducted from your taxable profit. For a higher-rate taxpayer, that saves £1,760 in actual tax paid.

Yet many self-employed workers under-claim because they do not have accurate records. HMRC requires the date, start point, destination, miles and purpose for every journey — and if you cannot produce them, your claim may be questioned.

Mileage tracking designed for the self-employed

MileageCalendar is built for self-employed workers and sole traders who manage their own appointments, expenses and business records. Instead of asking you to track mileage separately, it can use the appointments already in your Google Calendar or Outlook to create mileage records.

Your calendar appointments have dates, locations and titles. MileageCalendar reads that information, calculates the driving distance between appointments, and creates draft mileage entries. You review and confirm — the app handles the distance calculation, classification and reporting.

This reduces duplicate data entry: you enter the appointment once in your calendar, and MileageCalendar turns it into a mileage record. You are not typing the same information into two separate systems.

Real use cases for self-employed mileage

Self-employed workers drive for many different reasons. Here are the most common use cases and how MileageCalendar handles them:

Customer visits

If you visit customers at their premises — whether you are a consultant, a tradesperson or a care worker — the journeys to and between customer visits are business mileage. If your customer visits are in your calendar with addresses, MileageCalendar calculates the driving distance automatically.

Jobs and site visits

Tradespeople, contractors and mobile professionals travel between jobs and sites throughout the day. Each trip between job sites is business mileage. If your jobs are in your calendar with addresses, MileageCalendar builds a complete daily mileage log from them.

Client meetings

Consultants, advisors and freelancers travel to client meetings, presentations and pitches. These journeys are business mileage. If your meetings are in your calendar, MileageCalendar turns them into mileage records — with the meeting title as the business purpose.

Property visits

Estate agents, property managers and surveyors drive between property viewings, valuations and inspections. Each trip between properties is business mileage. MileageCalendar calculates the driving distance between appointments automatically.

Deliveries

If you make deliveries as part of your self-employed work, the journeys between delivery points are business mileage. You can plan multi-stop delivery routes and calculate the total mileage for the entire route.

Multiple appointments in one day

Many self-employed workers have days packed with appointments — five, ten or more visits in a single day. Manually logging each journey is impractical. Calendar-based tracking handles this automatically: MileageCalendar reads all your appointments and calculates the mileage between each one, building a complete daily log.

How calendar appointments reduce duplicate data entry

The biggest admin burden for self-employed workers is duplicate data entry — entering the same information in multiple systems. You enter an appointment in your calendar, then enter the same journey in your mileage log, then enter the same details in your expense claim.

MileageCalendar eliminates this duplicate work. Your calendar appointment already has the date, the location and the title. MileageCalendar reads that information and creates the mileage record for you. You are not entering the same information twice.

For journeys that are not in your calendar, you can add them manually with postcode calculation. But for the majority of your work journeys — the ones already in your calendar — the data entry is done.

How much can self-employed workers claim?

Self-employed workers and sole traders can claim the HMRC approved mileage rate of 55p per mile for the first 10,000 business miles in the 2026/27 tax year, and 25p per mile for each mile above 10,000. This is deducted from your taxable profit, reducing your tax bill.

At 8,000 business miles a year, that is £4,400 in tax relief. For a basic-rate taxpayer, that saves £880 in tax. For a higher-rate taxpayer, it saves £1,760. Over a career, accurate mileage tracking can save tens of thousands of pounds.

Use our mileage calculator to estimate your claim based on your actual business miles.

Self Assessment and accounting export

When you are ready to file your Self Assessment, MileageCalendar produces a compliant report with every journey: the date, the start, the destination, the miles, the purpose and the claim value. You can filter by tax year, export as PDF or CSV, and share with your accountant.

If you use Xero, QuickBooks, FreeAgent or Sage for your accounts, you can sync mileage directly to your accounting software. Your mileage entries appear as journals or expenses, ready for your Self Assessment or your accountant.
