Quote Acceptance Best Practices
Best practices for managing quote acceptance — follow-ups, tracking and converting to invoices.
Table of Contents
Make acceptance easy
The easier it is for a customer to accept your quote, the more likely they are to do it. Send quotes digitally so the customer can accept online with one click — no printing, signing or scanning.
Include clear instructions on how to accept. If the customer has to figure out how to accept, they may put it off or forget.
Follow up at the right time
If you can see when the customer opened your quote, wait a day or two and then follow up. If you cannot track opens, wait 2-3 days after sending before following up.
Ask if they have any questions. Often a customer has not accepted because they have a question they have not asked. Answering it can close the deal.
Convert to invoice immediately
When the customer accepts, convert the quote to an invoice and send it straight away. This starts the payment clock and shows professionalism.
If the scope has changed since the quote, communicate the changes before sending the invoice. Never send an invoice that differs from the accepted quote without explaining why.
Track and manage quote acceptance
See when customers view quotes, get notified on acceptance and convert to invoices instantly.
