Why conversion matters

When a customer accepts your quote, you need to send an invoice quickly to start the payment process. Manually re-entering all the line items from the quote into an invoice is time-consuming and prone to errors.

Digital quoting and invoicing software lets you convert a quote into an invoice with one click. All the line items, prices and customer details carry over automatically.

What changes when you convert

The quote number is replaced with an invoice number. The terms may change from quote validity to payment terms (e.g. net 30). Everything else — the customer details, line items and totals — stays the same.

You can also add any deposits or partial payments already received so the invoice shows the correct outstanding balance.

Best practices

Send the invoice as soon as the quote is accepted. The faster you invoice, the faster you get paid. Include a clear due date and payment instructions.

If the scope changed between the quote and the work starting, update the invoice to reflect the actual work done. Communicate any changes to the customer before sending the invoice.
