The mileage problem for tradespeople

Builders, plumbers, electricians, carpenters and other tradespeople drive to multiple job sites every day. Between the builders merchant, the first job, the second job and the supplier run, the miles add up fast — but logging them is a hassle.

Most tradespeople either forget to track mileage entirely, or try to reconstruct it at the end of the month from memory. That means missed claims, inaccurate records and hours of wasted admin.

If HMRC asks to see your records and you cannot produce them, your entire mileage claim may be disallowed. For a tradesperson driving 10,000 business miles a year, that is over £5,500 in lost tax relief.

How calendar appointments create your mileage records

If you use Google Calendar or Outlook to manage your jobs — and most tradespeople do — your calendar already knows where you went. Each appointment has a location, a time and a customer name.

MileageCalendar reads those appointments, calculates the driving distances between consecutive jobs, and creates mileage records you can review. Trips to the builders merchant, between job sites and to customer visits are all captured.

You review the suggested journeys, confirm or adjust them, and export HMRC-ready reports. No manual logging, no forgotten trips.

A typical tradesperson day

Tradespeople drive to multiple job sites, suppliers and customers every day. Every business journey is claimable — but logging them between jobs is the last thing you want to think about.

UK mileage record considerations

HMRC allows tradespeople to claim mileage between job sites, suppliers and customers at 55p per mile (first 10,000 miles in 2026/27, 25p per mile above).

The journey from home to your first job and from your last job home is claimable if you do not have a fixed business base.

If you travel to a fixed workshop or yard first, that commute is not claimable — but journeys from there to job sites are.

You cannot claim mileage and also claim fuel, insurance, MOT and depreciation separately. The approved rate covers all vehicle costs.

Rates shown are for tax year 2026/27. Always check current HMRC guidance for your situation.
