The mileage problem for consultants
Consultants — whether management, IT, engineering or freelance — travel frequently to client offices, site visits and project meetings. Every business journey is claimable, but consultants are often focused on billable work and client deliverables, not mileage admin.
The result is that many consultants under-claim mileage. A consultant driving 8,000 business miles a year is missing up to £4,400 in tax relief if those journeys are not logged.
Traditional mileage trackers require manual start/stop or GPS tracking, which consultants often forget during busy client-facing days.
How calendar appointments create your mileage records
Consultants manage their entire schedule through Google Calendar or Outlook. Every client meeting, site visit and project appointment already has a location and time.
MileageCalendar reads those appointments, identifies the business journeys between them, and calculates driving distances automatically. You review and confirm the records.
No need to remember a tracker. No need to reconstruct trips from memory. Your calendar — which you already use for every client meeting — does the work.
A typical consultant day
Consultants travel to client meetings, site visits and project locations. Every business journey is claimable — but between meetings, admin is the last priority.

UK mileage record considerations
HMRC allows consultants to claim mileage between client meetings and site visits at 55p per mile (first 10,000 miles in 2026/27, 25p per mile above).
If you work from a home office, journeys from home to client sites are generally claimable. The commute to a fixed co-working space or office may not be.
If you are inside IR35, check how mileage is treated under your engagement — it may be handled differently.
Keep records of the date, start, end, miles and business purpose. MileageCalendar records all of this automatically from your calendar.
Rates shown are for tax year 2026/27. Always check current HMRC guidance for your situation.
