The mileage problem for care workers

Care workers and home-care professionals drive between multiple client visits every day. Each journey between clients is claimable business mileage — but between focusing on patient care, managing tight schedules and dealing with unpredictable traffic, logging every trip is the last thing on your mind.

Most care workers we speak to are missing significant mileage claims. A typical day might involve 5–10 client visits, each generating a short but claimable journey. Over a year, that adds up to hundreds of pounds in unclaimed tax relief.

The problem is that traditional mileage trackers require you to remember to start and stop a GPS tracker before and after every visit. When you are rushing between clients, that simply does not happen consistently.

How calendar appointments create your mileage records

If you use Google Calendar or Outlook to manage your care visits — and most care workers do — your calendar already contains the information needed to create mileage records: the client name, the appointment time and the location.

MileageCalendar reads those appointments, identifies the driving distances between consecutive visits, and creates mileage records you can review and confirm. You do not need to remember to start a tracker — your calendar already knows where you went.

You stay in control: review the suggested journeys, confirm or adjust them, and export HMRC-ready reports whenever you need them.

A typical care worker day

Care workers often visit multiple clients in a single day. The driving between visits is business mileage — but remembering to log every leg is nearly impossible when you are focused on patient care.

UK mileage record considerations

HMRC allows care workers to claim mileage between client visits at the approved rate (55p per mile for the first 10,000 miles in 2026/27, 25p per mile above).

The journey from home to your first client and from your last client back home is generally claimable for community care workers who do not have a fixed base.

If you are employed by a care agency, check whether they reimburse mileage separately — you cannot double-claim.

Keep records of the date, start point, end point, miles and purpose for each journey. MileageCalendar records all of this automatically.

Rates shown are for tax year 2026/27. Always check current HMRC guidance for your situation.
